Job Summary The Information & Registration Assistant is responsible for supporting the accurate registration, verification, and management of beneficiary information in accordance with project criteria and organizational procedures. The role provides timely information and guidance to beneficiaries regarding available services, eligibility, and the registration process, while ensuring data quality, confidentiality, and compliance with organizational policies. The Information & Registration Assistant works closely with project staff and field teams to facilitate efficient service delivery, maintain beneficiary records, and contribute to effective reporting and accountability mechanisms. Duties and Responsibilities Register project beneficiaries accurately in accordance with approved eligibility criteria, SOPs, and project guidelines. Verify beneficiary information and supporting documentation to ensure accuracy, completeness, and eligibility. Maintain updated beneficiary databases, registration forms, and physical and electronic records while ensuring data quality. Enter, update, and validate beneficiary data in project databases and Management Information Systems (MIS) in a timely manner. Provide clear and accurate information to beneficiaries regarding project objectives, eligibility criteria, registration procedures, available services, and assistance schedules. Support beneficiary screening, profiling, and referral to appropriate project components or specialized services when required. Ensure confidentiality and secure handling of beneficiaries' personal information in compliance with organizational data protection and safeguarding policies. Prepare beneficiary lists for assessments, service delivery, distributions, training sessions, and follow-up activities. Assist in conducting verification exercises, attendance tracking, and post-registration updates. Coordinate closely with project staff, community mobilizers, M&E teams, and other relevant stakeholders to ensure accurate beneficiary records. Support complaint and feedback mechanisms by guiding beneficiaries on available channels and referring complaints to the appropriate focal points. Assist with monitoring visits, data collection, beneficiary verification, and reporting activities as required. Prepare regular registration reports, data summaries, and statistical updates for supervisors. Identify and report discrepancies, duplicate registrations, fraud risks, or data quality issues promptly. Ensure all registration and information activities are implemented in accordance with organizational policies, donor requirements, Child Safeguarding, PSEA, Code of Conduct, and data protection standards. Perform any other relevant duties assigned by the supervisor to support effective project implementation. Job Requirements Qualification: · Bachelor's degree in Economics, Business Administration, International Development, Social Sciences, or a related field, with a minimum of three (3) years of relevant professional experience. · Professional certification in Project Management (e.g., PMP or any Project Management Diplomas) is preferred. Experience: · Experience in managing humanitarian or development projects, with a focus on youth development, migration, , protection, or emergency response. · Demonstrated experience in project planning, implementation, and monitoring, particularly in disaster or conflict-affected settings. · Expertise in budget management, compliance, and working with procurement, finance, and HR teams. · strong experience in engaging with stakeholders, including local authorities, INGOs, and UN agencies. · Prior experience in team supervision, capacity building, and fostering professional relationships. · Familiarity with community-based approaches, including beneficiary selection, accountability mechanisms, and safeguarding practices. · Have relative experience working with reporting and data collection tools such as Kobo, Survey Monkey, Google forms etc. Skills and Abilities: · Strong understanding of local contexts, including cultural and political dynamics in Afghanistan. · Proficiency in English, Dari and Pashto. Proficiency in other languages will be considered a plus point. · Strong reporting, presentation, training facilitation, and budgeting skills. Strong inter-personal and communication skills, ability to work under stressful conditions, and able to meet tight deadlines.
